How to set up your practice in DocCharge portal step-by-step

Setting Up a New Account with DocCharge

Welcome to DocCharge! Below we will take you through the quick process of setting up your account on the desktop portal and the mobile app. 

On the Desktop Portal

Invite New Users

  1. Navigate to the practice tab on the top bar menu

  2. Click the 'All User' sub-tab > Click 'Add' button in right upper corner (User will be added to the practice and will receive an email with temporary password to log-in). This option allow user to log-in without going through 'Registration' steps.

  1. ALT OPTION: Click the Invite Member sub-tab 

  2. Click the add button on the right hand side of the screen

  3. Fill in relevant info

  4. Click Invite User: this will email an TOKEN (invite code) to the invited user(s) whereby user has to sign-up using the registration form.

  5. This option allows Practice Manager to use this TOKEN (invite code) to register the users on their behalf.

This feature in DocCharge allows you to assign favorites to physicians in the practice by specialty. Favorite codes may be applied to all physicians in the practice or specific physicians.

  1. Go to Practice tab >Assign Favorites  

  2. Assign Favorites ICD: Under Physician field select ALL to assign favorite codes to all physicians in the practice or a specific physician > Click SAVE

  3. Assign Favorite CPT: Under Physician field select ALL to assign favorite codes to all physicians in the practice or a specific physician > Click SAVE

IMPORTANT: when assigning favorites, remember that these will override the physicians’ current favorite codes.

Review Your Subscription

  1. Navigate to the practice tab on the top bar menu

  2. Click the subscription sub-tab

  3. Review your subscription data. The first 30 days is a free trial, and this page will allow you to upgrade your account.

Set Up Your Hospitals

  1. Navigate to the hospital tab on the top bar menu

  2. Click add on the right hand side of the screen

  3. Fill in relevant information. The most important piece of info is the telephone number.

  4. Click add new hospital

Test out Billing Features 

  1. Navigate to the billing tab on the top bar menu

  2. Add a test patient to try out the different features

  3. Click add patient on the right hand side of the screen

  4. Click Add New Patient

  5. Try adding charges. The charge entry module will appear in the screen that follows the add new patient screen.

CPT-ICD Selection

This sub-tab will take you to a screen that defaults to your favorite CPT codes. To switch to all CPT codes, select the any option under the favorite field in the search bar.

 

Favorite and create HOT CPT codes

  • HOT CPT codes are a list of user designated 6 (six) CPT codes that can be used to enter new charges very easily from the Rounding List screen in App.

  • To favorite a CPT code, click the star next to the CPT code

  • To HOT CPT, click the heart next to the CPT code (Maximum 6)

Create CPT-ICD Combos

  • Click the yin yang symbol immediately left of the CPT Code

  • This will take you to a screen that lists ICD-10 codes on the right hand side of the screen

  • Search by Code number, description, or through your favorites

  • Once you’ve selected your ICD codes, click update combo on the left of the screen

This sub-tab will take you to a screen that defaults to your favorite ICD codes. To switch to all ICD codes, follow the same steps as for the CPT codes.

Try Sending a Message to the Physician on Inbox (for Office Staff)

  1. Navigate to the inbox tab on the top bar menu

  2. Click send new message

  3. Send a normal message to the physician

  4.    Select receiver

  5.    Type message

  6.    Click send message

  7. Send an “ask medical opinion” message by clicking the second tab

  8.     Select receiver

  9.     Select relevant patient (try the test patient created earlier)

  10.     Type message

  11.     Click send message

The top right of the portal serves as your hub for account information and a resources with the following functions:

Allows you to switch RVU mode.

Allows you to edit account information except email address.

Logout

The “Help!” speech bubble links to the DocCharge Help Center, where you will find more information on DocCharge ranging from mobile application support to FAQs and troubleshooting.

Intercom

Intercom is a feature that allows you to ask a member of the DocCharge team for personalized help. Click on the button on the bottom right corner of your screen (pictured below) to access intercom.
